There is often confusion about what it means to integrate AI into a business. Building an artificial intelligence model from scratch requires massive amounts of data, specialised infrastructure and research teams that are beyond the reach of any company that isn’t an AI laboratory. That’s not what we do, nor does it make sense for the vast majority of real-world cases.
What we do is different: we take the most capable models on the market — GPT-4, Claude, Gemini — and We tailor them to operate exclusively in line with the client’s specific knowledge, tone and constraints. The model provides the general intelligence. We build the architecture that connects it to the client’s data and, more importantly, confines it to that data.
That confinement is no minor detail — it is at the heart of the design. A model without explicit constraints on its knowledge base makes things up when it does not know the answer. A well-constrained model knows exactly what information it has available, what it can state with certainty, and when it must admit that it does not have the answer rather than inventing one. That is what eliminates delusions in a business context: not the magic of the model, but the architecture that surrounds it.
The result for the company is the genuine centralisation of organisational knowledge. Documents scattered across folders, procedures known only to a few, answers that depend on who answers the phone — all of this becomes a searchable, consistent resource available to any team member or any client, at any time. The company’s knowledge no longer depends on the people who accumulated it.
The integration engine that ties everything together is n8n, installed on the client’s own infrastructure. The AI workflows are just as auditable, modifiable and portable as any other system we build — and the client’s data does not feed into the training of any external models.
Local models for absolute privacy
For clients with strict privacy requirements — such as those in regulated sectors, handling particularly sensitive data, or preferring not to rely on third-party providers — we implement a fully on-premises solution using Ollama, a platform that runs open-source language models directly on the client’s server.
With this architecture, no data leaves the customer's infrastructure at any time. The model runs on your own servers; n8n connects to it locally, and the entire system operates without any reliance on external APIs. There are no calls to OpenAI, no data transmitted to external providers, and no third-party privacy policies to manage.
The trade-off is real, and we explain it before recommending this approach: the open-source models available today — Llama, Mistral, Qwen, among others — are less capable than GPT-5 or Claude when it comes to complex reasoning tasks. For limited and well-defined use cases — support based on a proprietary knowledge base, classification of requests, standard responses regarding internal documentation — are quite sufficient. The decision depends on the privacy requirements and the complexity of the use case, and we make it together with the client before choosing the architecture.
How we ensure that a general model provides answers based on specific knowledge of your company
Tuning a language model for a specific business case is not a one-off task — it involves a combination of techniques that are applied depending on the type of knowledge, the use case and the level of accuracy required by the system. These are the main ones:
RAG — Retrieval-Augmented Generation
RAG — Retrieval-Augmented Generation — is the most common technique for connecting a language model with an external knowledge base. It works as follows: when a user asks a question, the system first searches the client’s document repository for the most relevant snippets relating to that question, and provides them to the model as context before generating the response. The model does not store the company's knowledge — it accesses it in real time whenever you need it.
The practical result is a system that can answer questions about specific documentation, internal policies, product catalogues or any structured knowledge base, with answers based on the client’s actual documents rather than on general assumptions made by the model.
Fine-tuning
Fine-tuning involves continuing to train a base model using examples specific to the client’s domain. It does not replace the original model —specialises it. A fine-tuned model trained on a company’s support history learns the tone, terminology and response patterns that the company uses, producing responses that are more consistent with its brand identity without the need for detailed instructions for every query.
It is a more expensive technique than RAG and is not always necessary. We use it when the volume of interactions is high, the brand tone is very specific, or when the domain of knowledge is sufficiently specialised that the generic base model makes frequent errors.
Structured prompting and system instructions
Before moving on to more complex techniques, a large part of a model’s behaviour can be defined through well-designed system instructions — rules that set out what the model can respond to, how it should do so, what it should avoid, and how it should behave when faced with cases it cannot resolve. This is the most direct layer of customisation and the foundation upon which any more elaborate system is built.
A model without clear system instructions is a model that improvises. A model with well-designed instructions is a system with predictable and controlled behaviour.
Memory and conversational context
Language models do not retain memory between conversations by default — each interaction starts from scratch. For use cases that require continuity — such as a support assistant that remembers a customer’s history, or an internal system that maintains the context of a project — we implement external memory layers that persist between sessions and are retrieved selectively based on their relevance to the current conversation.
Agents with tools
The cutting edge of what we’ve implemented: models designed not only to answer questions but also to carry out actions — query a database, create a record in the CRM, send a notification, check the status of an order. The model determines which tools are needed to complete the user’s task and executes them in sequence, connected via n8n to the client’s actual systems.
This turns a chatbot into an agent — something that not only informs but also takes action within the limits set for it.

Customer support assistant — including WhatsApp and messaging platforms
The most immediate use case for most businesses is that the channel is just as important as the system itself. WhatsApp is now the primary communication channel for millions of users — we integrate the chatbots directly into the WhatsApp Business API, Telegram, Instagram Direct and any other messaging platform with an available API, as well as traditional web chat.
The advantage of a WhatsApp assistant over a contact form or a web chat is that virtually no friction: The user is already on the platform; they don’t need to install anything or log in anywhere. The system responds within seconds, within the same chat thread where the customer is already communicating with the company, drawing on real-time business insights and with the ability to escalate to a human agent when the enquiry requires it.
For businesses that receive a high volume of enquiries via WhatsApp — bookings, orders, support, product information — a well-implemented chatbot on that channel solves the problem of availability and response times without the team having to be constantly on the phone.

Your data isn’t the price you pay for AI
Integrating language models with internal company data raises legitimate questions that deserve straightforward answers.
The models we integrate communicate with the customer’s data via API calls — the customer’s documents and records are sent as context with each query, are not used to train or improve the provider’s models. The main providers — OpenAI, Anthropic, Google — offer data processing agreements for business use that explicitly guarantee that data sent via the API is not used for training.
The architecture we have built adds an extra layer of control: sensitive data is filtered before it reaches the model, conversation history is stored on the client’s infrastructure, and system access permissions follow the same role-based model as any other application we develop. The system knows exactly what it can see, what it can respond to, and what it must reject.
For sectors with specific regulatory requirements — healthcare, finance, legal — we design the architecture with these constraints in mind from the outset, rather than as a retrofit. And for cases where any external dependency is unacceptable, the option of local models with Ollama offers complete privacy without compromising the system’s functionality for well-defined use cases.

It depends on the volume and condition of the documentation. A well-structured knowledge base can be indexed and up and running within days. Documentation scattered across multiple formats and sources requires a preliminary organisation and cleaning-up process, which may take longer. The indexing process forms part of the project and we plan it with the client before we begin.
Yes, and it’s important to understand this. Language models can generate incorrect answers with apparent confidence — a phenomenon known as hallucination. The architecture we have built significantly reduces this risk: when the system works with RAG, responses are grounded in real documents and the model has explicit instructions to indicate when it cannot find the information, rather than inventing it. For cases where the cost of an error is high, we design human validation workflows before the response reaches the end user.
Yes. Through n8n, the system can connect with CRMs, in-house databases, e-commerce platforms, ticketing systems, Google Workspace, Slack, WhatsApp Business and virtually any platform with an API. Integration with existing systems is part of the project, not an extra.
ChatGPT is a general-purpose model that knows nothing about your company, your product or your processes. What we build is a system that uses that same model—or an equivalent one—but one that is linked to the specific knowledge of your business, with the behavioural constraints you define, integrated into your tools and deployed on infrastructure that you control. The difference is the same as that between an engine and a vehicle designed for a specific purpose.
That’s not the right way to look at it. A well-implemented AI system handles the volume of repetitive and predictable enquiries, freeing up staff to focus on interactions that require judgement, empathy or negotiation — which are the ones that make the biggest difference. In most companies, the volume of enquiries is growing faster than the workforce, and AI is the way to maintain the quality of responses without the cost of customer service rising in line with business growth.
Generally speaking, no. The open-source models available today are less capable when it comes to complex reasoning or very open-ended conversation. However, for specific use cases—such as answering questions about internal documentation, categorising requests, or managing support based on a defined knowledge base—the practical difference is minimal, and the advantage of absolute privacy more than makes up for it for customers who require it.
